This Privacy Policy describes how Empire Medical Training (“Empire,” “we,” “us”) collects, uses, and protects your information when you use our website (empiremedicaltraining.com), our member portal, and the Empire Medical Training mobile and web app (together, the “Services”).
1. Information We Collect
Account information — your name, email address, password, and membership details when you create or use a member account.
Professional information — your medical title, professional license type and state of licensure, provided when registering for courses or completing required course documents.
Course and training records — your course registrations, attendance, quiz and assessment results, CME credits, and certificates.
Signed documents — where a course requires acknowledgment or licensure forms, we store your typed name, drawn electronic signature, the date, and the IP address used at signing, as part of the legal record of your training.
Payment information — payments are processed by Stripe, our payment processor. Your full card number is entered directly with Stripe and is never stored on Empire’s servers. We retain records of your purchases (course, amount, date).
Community content — posts, replies, and likes you submit to the member community.
Technical data — IP address, device/browser type, and usage logs, used for security (e.g., rate limiting and fraud prevention) and to operate the Services.
2. How We Use Your Information
To provide the Services: course registration, training materials, livestreams and recordings, certificates, and member support.
To process payments and send transactional emails (e.g., registration confirmations, password resets).
To maintain legally required training and certification records, including signed course documents.
To secure the Services and prevent fraud or abuse.
To communicate membership information and, where permitted, information about courses and offerings. You may opt out of marketing messages at any time.
3. Service Providers We Share Data With
We do not sell your personal information. We share data only with the service providers needed to operate the Services:
Vimeo — secure playback of course videos embedded in the Services.
Zoom — livestream course delivery.
Infrastructure and hosting providers that store data on our behalf under contractual safeguards.
We may also disclose information where required by law, or to protect the rights and safety of Empire, our members, or others.
4. Data Security
All traffic to the Services is encrypted in transit (TLS/HTTPS). App passwords are protected with modern one-way hashing. Access to member data is restricted to personnel who need it to operate the Services. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard safeguards.
5. Data Retention
We retain account, training, certification, and signed-document records for as long as your account is active and as needed to meet legal, accreditation, and CME record-keeping obligations. Payment records are retained as required for tax and accounting purposes.
6. Your Rights and Choices
You may access and update your profile information in the member portal or app.
You may request a copy, correction, or deletion of your personal information by contacting us at [email protected]. Note that certain training and certification records must be retained by law or accreditation requirements even after account deletion.
Depending on where you live, you may have additional rights under applicable privacy laws (such as the CCPA for California residents). We honor verified requests as required by those laws.
You may opt out of marketing emails via the unsubscribe link in any marketing message.
7. The Mobile App
The Empire Medical Training app does not collect your location, contacts, photos, or any device data beyond what is described above. It does not display third-party advertising and does not sell or share data for advertising purposes. Signing in uses the same member account as the member portal.
8. Children
The Services are intended for licensed healthcare professionals and are not directed to anyone under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The effective date above reflects the latest revision; material changes will be communicated through the Services.
